The Program Specialist is responsible for supporting the daily operations, programmatic initiatives, administrative logistics, and events and activities related to the multitude of programs and projects in District II and District III. Position objectives include network and collaborate with leadership and stakeholders to ensure alignment with program mission, goals, and objectives; plan and execute administrative aspects of program activities and projects, including meeting logistics, reporting, and other deliverables; assist with medical education initiatives and other program initiatives to promote program growth; and develop and maintain positive relationships with internal and external stakeholders. The Program Specialist will report to the Executive Director of District II.

Note: This position is considered Hybrid and will need to commute to ACOG's Albany, NY office.

  • Provide programmatic and logistical support to ensure successful implementation of District II and District III activities including medical education programs, Fellow and Junior Fellow activities and NY legislative affairs.
  • Maintain working knowledge of program resources, guidelines, and training materials and update with new resources as needed with input from leadership.
  • Offer support to the Fellow and Junior Fellow leadership, in collaboration with the District II and District III Manager and Executive Director. This may include supporting the volunteer leader election process, supporting aspects of the Annual District Meeting such as the poster abstract submission process and continuing medical education application, and offering support to other special projects as assigned.
  • Assist with the preparation of reports for assigned projects and transcribe, proofread, finalize and distribute correspondence and meeting minutes.
  • Triage and coordinate responses to email and phone inquiries regarding program(s) activities.
  • Schedule meetings and conference calls as necessary and develop agendas for calls and meetings as assigned.
  • Assist in the development and editing of promotion plans for various programs and initiatives, including social media content and other electronic media resources, email blasts, newsletters, fact sheets, posters, tool kits, and other materials, in collaboration with leadership and appropriate ACOG teams. Share promotional materials and activities with outside organizations as applicable.
  • Manage and maintain up to date content on program webpage(s) keeping the content current and consistent with guidelines from ACOG and cooperative partners. Ensure web links are accurate and develop new content as needed.
  • Help prepare materials, letters, presentations and reports for medical education programs including grant funded projects, and the Annual District Meetings and the Annual Clinical and Scientific Meeting.
  • Provide administrative support for virtual events (webinars, orientations, etc) and in-house meetings.
  • Maintain subject files for multiple projects. Coordinate mailings and supplies order.
  • On-going review and updates to rosters and meeting charts, and other materials. Prepare materials for review and distribution.
  • Manage and distribute charts for interim and annual district advisory council meetings. Update charts with attendance of ACOG ELT and Presidential officers.
  • Support management of the District II and District III sharepoint site.
  • Perform other duties as assigned.
Salary Range
$52,000$62,000 USD
