Program Administrator, Quality & Safety

The Program Administrator will manage the logistical day to day operations of the program. Responsible for project coordination, fiscal management, administrative management, implementation, and reporting of project activities. Provide professional expertise and apply departmental and organizational policies and procedures to positively influence the outcome of the program and the department. Exercise judgment, prioritize and implement multiple projects, and collaborate effectively with internal and external partners. Act as the marketing and communications liaison between the department and the Marketing and Communications team. Support the mission of the Patient Safety Organization (PSO) by conducting activities that improve patient safety and the quality of healthcare delivery in accordance with the Patient Safety Act and Rule.
Note: This position is considered Hybrid and will need to commute to ACOG's office located in Washington, D.C.
Duties and Responsibilities:
- Participate in annual PSO workforce training.
- Support collection, analysis, and aggregation of Patient Safety Work Product (PSWP) from participating providers.
- Maintain strict confidentiality and security of PSWP in compliance with federal regulations.
- Provide feedback and assistance to providers, helping to identify system drivers of safety risk and implement strategies to minimize patient risk.
- Participate in the operation of a Patient Safety Evaluation System (PSES).
- Monitor QiA program activities to ensure quality and accuracy of work outcomes with contractual and grant commitments. Meet deliverables, develop website products, execute work plans, projects, and assignments in an accurate and timely manner.
- Act as a communication liaison with external partners. Plan and successfully execute special projects related to the success of the program. Responsible for adherence to program budget.
- Collaborate with marketing and communication teams to develop best practices, communication strategies and explore new formats for dissemination of program materials.
- Serve as the primary liaison for assigned meetings, including meeting planning and logistics, coordinating timelines, assembling agenda materials, developing and distributing related minutes, reports, and updates.
- Coordinate the work of consultants, vendors, staff, and others involved in the development and implementation of activities, materials, and events including literature review, video, and online course development and production, and marketing and promotion campaign planning and execution.
- Manage and track all proposal/reporting deadlines, work plans, evaluations, submissions, and status updates and assists in drafting program proposals and report any noted issues to leadership.
- Track, monitor and maintain expenditures and process invoices as needed.
- Represent the program both inside and outside of the ACOG, conduct outreach at national and regional meetings, and present on program activities and provide updates at meetings.
- Develop relationships with professional associations and other health organizations to help support the Work with other ACOG staff to create, track, and manage appropriate agreements and contracts with outside partners and vendors.
- Promote clinical guidelines and policies that support implementation of program recommendations.
- Manage and edit program content through various stages of review and approval to ensure alignment with ACOG guidance and editorial standards.
- Perform other duties as assigned.
Additional Duties and Responsibilities Specific to the Quality in Action PSO/VRQC Program:
- Support dissemination of QiA deliverables as needed through collaboration with ACOG departments, vendors, and consultants
- Closely track VRQC program spending and analyze trends in travel costs to help guide budget decisions
- Collaborate on a marketing strategy for QiA to promote expansion
- Maintain social media channels for QiA
- Develop and maintain QiA materials in alignment with evolving organizational branding guidelines
- Develop and maintain operational databases to ensure projects are being managed efficiently
Required Skills/Abilities:

- Project coordination skills, including meeting management.
- Attention to detail and ability to work with unfamiliar medical terminology.
- Ability to work independently.
- Proficient with Microsoft Office Suite or other related software.
- Basic knowledge of marketing and social media platforms and accounting management preferred.
- Ability to travel.
Education and Experience:
- Bachelor’s degree required.
- Minimum of 2 years of related experience required.
- Project management experience in medical, public health, or clinical content development preferred.
