The Program Specialist will support the daily operations of the program. Responsible for project coordination, contract management, the smooth transfer of program data to and from providers, and other administrative duties as assigned. Serve as a facilitator between team members and providers engaged in Patient Safety Organization (PSO) activities. Support the mission of the PSO by conducting activities that improve patient safety and the quality of healthcare delivery in accordance with the Patient Safety Act and Rule.

Note: This position is considered Hybrid and will need to commute to ACOG's office located in Washington, D.C.

Duties and Responsibilities:

  • Participate in annual PSO workforce training.
  • Support collection, analysis, and aggregation of Patient Safety Work Product (PSWP) from participating providers.
  • Maintain strict confidentiality and security of PSWP in compliance with federal regulations.
  • Provide feedback and assistance to providers, helping to identify system drivers of safety risk and implement strategies to minimize patient risk.
  • Participate in the operation of a Patient Safety Evaluation System (PSES).
  • Provide oversight and management of department contracting, liaising between ACOG departments, staff members, and providers, communicating contracting statuses and updates, and escalating roadblocks and concerns.
  • Receive, gather, analyze, and organize information from multiple sources into appropriate software and tools.
  • Administer users and functionalities in department software and tools to support data and information transmission processes.
  • Provide administrative support including but not limited to transcribing, proofreading, finalizing and distributing correspondence and meeting minutes; maintaining files for multiple projects; copying correspondence and documents; coordinating mailings; ordering supplies.
  • Develop, evaluate, and update current standard operating procedures (SOP); researching program issues, concerns and complaints; and recommending administrative strategies or changes.
  • Review and update technical documentation, including data collection and transmission instructions, to align with program updates.
  • Participate in the development and execution of program activities. Help prepare materials for applications and reports and collaborate with leadership on new and current project deliverables.
  • Track progress and status of project deliverables to ensure successful outcomes of related goals and objectives.
  • Triage and coordinate responses to email and phone inquiries regarding program(s) activities.
  • Triage and coordinate responses to issues or concerns raised during data collection and transmission processes.
  • Schedule meetings and conference calls as necessary and develop agendas for calls and meetings.
  • Participate in programmatic check in calls with internal/external stakeholders as needed.
  • Perform other duties as assigned.

Required Skills/Abilities:

  • Strong written and oral communication skills.
  • Knowledge of computers, including Windows, MS Office applications, and Adobe Acrobat
  • Excellent spelling and proofreading skills.
  • Ability to work with others, to meet deadlines and to handle a diverse workload.
  • Demonstrated ability to set own priorities and follow through on assignments.
  • Demonstrate good judgment and attention to detail.
  • Flexibility to work on several projects at once.
  • Ability to relate well to a variety of people.
  • Ability to travel.

Education and Experience:

  • High School diploma required.
  • 2 years of experience. Experience with project management, healthcare and medical terminology preferred.
  • Experience with website maintenance preferred.
Salary Range
$52,000$62,000 USD
