We are hiring a Leave of Absence Administrator to join our HR Team.
The Leave of Absence Administrator is responsible for managing and continuously improving the organization’s leave of absence programs, including FMLA, ADA, short and long-term disability, personal leaves, paternity leave, and other statutory, state or company-sponsored leaves. This role goes beyond administration - it is a strategic opportunity to rebuild and modernize leave processes, enhance communication with colleagues and managers, and strengthen partnerships across HR, Legal, and business units.
Essential Functions:
Program Management & Process Improvement
- Oversee end-to-end leave administration, ensuring compliance with federal, state, and local regulations.
- Review and track state sick leave/pay requirements, and ensure Axia remains compliant.
- Evaluate current leave processes and systems; identify gaps and lead efforts to redesign workflows, documentation, and tracking mechanisms.
- Transition ADA process from third-party to in-house support, establishing key processes and communication channels.
- Develop and implement scalable, user-friendly leave processes that support both compliance and colleague experience.
- Partner with HRIS and HR Service Delivery to optimize leave tracking tools and reporting capabilities.
Communication & Education
- Establish and maintain comprehensive policies for all leave types.
- Create clear, empathetic, and accessible communication materials for colleagues and managers regarding leave policies, procedures, and expectations.
- Design and deliver training sessions or toolkits for managers to improve understanding and handling of leave-related situations.
- Serve as a trusted point of contact for colleagues navigating the leave process, providing timely and accurate guidance.
- Confidently handle sensitive and critical conversations with colleagues and managers, offering support while maintaining compliance and professionalism.
Cross-Functional Collaboration
- Collaborate closely with HR Business Partners, Legal, Payroll, and Benefits teams to ensure alignment and consistency in leave administration.
- Act as a liaison between internal stakeholders and third-party leave vendors, ensuring service quality and issue resolution.
- Support compliance audits and partner with Legal to mitigate risk and ensure policy alignment with evolving regulations.
Data & Reporting
- Maintain accurate records of all leave cases and generate regular reports for HR and leadership.
- Analyze leave trends and recommend proactive strategies to address business and colleague needs.
- Monitor and report on key metrics such as leave utilization, return-to-work rates, and case resolution times.

Education & Experience:
- Bachelor’s degree in Human Resources, Business Administration, or a related field preferred.
- Strong knowledge of FMLA, ADA, and other applicable leave laws and regulations.
- 3+ years of experience in leave administration, HR operations, or related field.
- Demonstrated experience improving or rebuilding HR processes and systems.
- Experience managing third-party leave vendors, such as New York Life, etc., preferred.
- Professional certifications (e.g., PHR, SHRM-CP) are a plus.
Pay or shift range: $60k to $80k
The estimated range is the budgeted amount for this position. Final offers are based on various factors, including skill set, experience, location, qualifications and other job-related reasons.
