The Fertility Financial Counselor provides financial counseling and support to patients undergoing fertility treatments, ensuring they understand their insurance coverage, financial responsibilities, and available assistance programs. This role serves as a key resource for patients navigating the financial complexities of fertility care, offering clear guidance, cost transparency, and compassionate support to help patients make informed decisions throughout their treatment journey.

Essential Functions:

  • Patient Financial Consultation:
    1. Meet with patients to assess financial needs and provide personalized counseling regarding the costs of fertility treatments, including IVF, IUI, medications, and related services.
    2. Educate patients on insurance coverage, out-of-pocket costs, financing options, and payment plans.
    3. Provide accurate and transparent cost estimates to help patients plan for their treatment expenses.
  • Insurance Verification & Benefits Coordination:
    1. Collaborate with insurance verification teams to confirm coverage and benefits for fertility services.
    2. Guide patients through pre-authorization requirements, co-pays, deductibles, and out-of-network considerations.
    3. Serve as a liaison between patients and insurance providers to resolve questions and address billing or claims concerns.
  • Financial Assistance & Payment Planning:
    1. Educate patients on financial assistance programs, fertility grants, and third-party financing options.
    2. Assist with program applications and approvals.
    3. Develop and implement customized payment plans based on patient needs, ensuring accurate and timely transactions.
  • Billing & Claims Support:
    1. Provide support with billing inquiries, discrepancies, and statement reviews.
    2. Partner with billing departments to resolve issues promptly and ensure proper posting of charges and payments.
    3. Help patients understand their financial responsibilities and assist with resolution of outstanding balances.
  • Documentation & Record Keeping:
    1. Maintain accurate and complete patient financial records in alignment with organizational standards.
    2. Ensure all documentation (cost estimates, payment plans, insurance authorizations) is timely, compliant, and properly filed.
  • Patient Education & Support:
    1. Deliver financial counseling with empathy, discretion, and professionalism, recognizing the emotional challenges of fertility treatment.
    2. Provide ongoing support to help patients feel informed, confident, and empowered in their financial decision-making.
  • Collaboration & Teamwork:
    1. Partner with physicians, nurses, administrative staff, and financial counselors to integrate financial counseling into the overall patient experience.
    2. Participate in team meetings and share patient feedback to improve processes

Skills:

  • Strong knowledge of healthcare insurance, billing processes, and financial assistance programs.
  • Excellent communication skills with the ability to explain complex information clearly.
  • Compassionate and patient-centered approach to counseling.
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office and healthcare/EMR systems.

Education & Experience

  • Bachelor’s degree in Finance, Business Administration, Healthcare Administration, or related field preferred.
  • 2–3 years in healthcare finance, insurance, or patient financial counseling required.
  • Experience in fertility or reproductive healthcare preferred.
