How You Will Make an Impact: The Business Office Manager plays a crucial role in ensuring the smooth operation and financial health of the Care Center. They are responsible for overseeing various administrative and financial aspects of the business, and their impact is significant, encompassing financial management, compliance, patient satisfaction, and efficient administrative operations. Their role contributes to the financial stability and overall success of CCRM.

Role Summary

The Business Office Manager leads all front-end patient financial operations, including insurance verification, preauthorization, patient financial counseling, and front desk operations.

This role ensures patients are financially cleared prior to treatment, authorizations are obtained accurately and timely, and upfront collections are optimized.

This is not a general administrative role. Candidates must have direct experience in healthcare insurance processes, preauthorization, and patient financial workflows.


What You Will Do

Patient Financial Operations Leadership

  • Oversee insurance verification, benefits review, preauthorization, and patient financial counseling workflows

  • Ensure patients receive accurate cost estimates based on treatment plans and insurance coverage (deductibles, co-insurance, self-pay)

  • Drive front-end collections and financial clearance prior to services

Authorization & Insurance Oversight

  • Ensure timely and accurate preauthorization submissions and follow-ups

  • Monitor authorization status and resolve delays in collaboration with clinical teams

  • Maintain strong understanding of payer requirements and benefit structures

Front Desk & Patient Access

  • Oversee front desk operations to ensure efficient scheduling, check-in, and patient flow

  • Align front desk workflows with financial clearance requirements

Team Leadership (PFC + Front Desk)

  • Lead, coach, and develop Patient Financial Counselors and Front Desk staff

  • Establish and monitor KPIs for:

    • Authorization turnaround times

    • Financial clearance rates

    • Point-of-service collections

  • Drive accountability and continuous process improvement

Operational & Financial Oversight

  • Oversee daily deposits, reconciliation, and coordination with corporate teams

  • Identify workflow gaps and implement process improvements to reduce delays and financial risk

What You Bring (Non-Negotiable)

  • 4+ years of experience in healthcare patient financial operations, including:

    • Insurance verification & benefits

    • Preauthorization workflows

    • Patient financial counseling

  • Strong understanding of:

    • Deductibles, co-insurance, out-of-pocket maximums

    • Prior authorization requirements

  • Proven experience improving:

    • Financial clearance rates

    • Authorization turnaround time

    • Front-end collections

  • 2+ years of team leadership experience


Preferred

  • Experience in fertility, specialty care, or high-cost procedural environments

  • Familiarity with Progyny, WIN, or similar fertility benefit plans

CCRM’s Compensation: The salary range represents the national average compensation for this position. The base salary offered will vary based on location, experience, skills, and knowledge. The pay range does not reflect the total compensation package. Our rewards may include an annual bonus, flexible work arrangements, and many other region-specific benefits.
