Job Description

HerMD is seeking a Front Desk Receptionist to join our team in Millburn, NJ!

Our front office HerMD Team members are the first faces our patients see when they enter our building! Therefore, the successful candidate will possess a positive attitude, a smiling face, and exceptional organizational and customer service skill set.

This position is a full time position (5 days per week). - M, W, Th, F 8:00AM - 4:30PM, T 11:00AM - 7:00PM (late night).

Other responsibilities will include but are not limited to the following:

  • Opening and closing office

  • Greeting and assisting patients and visitors

  • Answering phones and returning messages

  • Routing messages to appropriate channel

  • Fielding sales reps/vendor calls and visits to the office

  • Navigating EMR/PM system

  • Checking in GYN and Spa patients and providing them with appropriate paperwork

  • Ensuring patient paperwork is completed thoroughly and input into EMR/PM system accurately

  • Familiarity with scanning, printing, faxing, and other traditional office tasks

  • Collecting copays/patient balances

  • Checking patients out and collecting payments for cash-based services

  • Allocating patient payments in EMR/PM system

  • Schedule auditing and management

  • Providing patients with samples/brochures requested by provider

  • Scheduling and rescheduling patients

  • Fielding patient Billing questions and referring them to the proper channels

  • Maintaining knowledge of Spa services and Retail products

  • Helping patients redeem e-commerce gift cards

  • Log/redeem patient reward points through 3rd party websites

  • Accepting mail/packages for office

  • Maintaining/tidying office supplies

  • Cleaning/sanitizing reception and patient lounge area

  • Assist in supplies ordering/inventory

  • Assist team with shared office-tasks (i.e. breakroom maintenance, bathroom supplies/stocking, garbage collection, etc)

  • Notifying providers/MA staff with schedule changes

  • Monitoring and updating multiple software program/apps used at the front desk

Requirements

Requirements

  • 1 year of medical office front desk experience required

  • ObGYN or UroGYN experience is preferred

  • 1 year of office experience required

  • Data entry experience is preferred

  • 1 year of customer service experience is preferred

  • Strong organizational skills are required

  • Willingness to participate in Marketing-related events for office location

  • Work Location: Millburn, NJ 07041
