The Manager of Clinical Operations will synchronize Mate’s clinical processes across teams - including IVF Coordination, Laboratory, Medical, Patient Care and Product. The ideal candidate for this role is proactive, scrappy, and someone who thrives in a fast-paced startup environment and embraces change. This person is passionate about process improvement and building and maintaining strong operational practices that enable clinical and embryology staff to provide best-in-class care (and avoid sinking significant time into operations).
The Manager of Clinical Operations will report to the VP of Operations. This person will tackle numerous projects that ensure Mate Fertility will be able to continue to support clinics in providing best-in-class fertility care, as we scale (from 2 to 5 clinics in the next few months and to 100+ clinics and beyond). This person will be an independent contributor with outsized impact as they will work cross-functionally across all Mate staff who contribute to patient care.
Essential Responsibilities
Clinical Operations and Workflows
- Maintain, improve, document, and oversee clinical workflows for Mate’s in-person clinics, at-home care offerings, and fertility assessment product (recent examples include: improving readability, inclusiveness, and scalability of medical consents; optimizing fertility work-up/testing process; ensuring external partners meet Mate’s needs; and smoothing information sharing across in-person clinics, telehealth providers, and initial testing outputs)
- Develop and maintain protocols that ensure all patients have a positive experience with regular follow-up and clear next steps at every stage of their fertility journey
- Identify opportunities for clinical operations improvements and efficiencies within our clinics, telehealth at-home offerings or fertility assessment and execute against these plans
- Partner closely with Mate’s IVF Nurse Coordinators to streamline workflows and maximize time they spend on clinical care
- Project manage and prioritize across a deep queue of clinical operations improvement projects to most effectively align time and resources
- Manage relationships with key clinical external partners (e.g. partners that provide labs, testing services, and clinical technology for Mate)
- Across a diverse set of clinical operations challenges, break down problems, gain alignment among stakeholders, set a vision for solutions and execute against that vision
Compliance and Quality Assurance
- Structure and facilitate Mate’s compliance and quality assurance processes for clinics in partnership with our clinical and scientific experts
- Liaise with Mate’s Medical Director and Lab Directors to transform their clinical and scientific visions into scale-ready operational processes
- Build systems to simplify (and automate where possible) reporting for quality assurance and compliance with Mate’s (and external) standards across various platforms
Operations Build-out at New Clinics
- Manage operational tasks required for new clinics to begin their clinical and laboratory operations, including but not limited to, EHR and other software set-ups and filing required documentation
- Iterate and improve on required steps to ensure future clinic build-outs are even more efficient, predictable and high-quality
Qualifications
- 5+ years of operations experience in a fast-paced environment
- 3+ years working directly at (or in service of) a healthcare clinic
- Proven experience influencing physicians, other clinicians, and/or nursing staff
- Expertise in managing stakeholders directly and indirectly
- Familiarity with compliance in healthcare, e.g. HIPAA, CLIA, CDC, accreditation, quality assurance, and licensing and credentialing
- Strong project management skills
- Exceptional attention to detail and commitment to high-quality work products
- Creative problem solver who thrives in a fast paced, team-oriented environment
- Independent and self-driven, with a strong sense of urgency
- Ability and willingness to roll up sleeves and build processes where they are currently missing
- Crisp communicator and presenter, verbally and in writing
- Ability to travel up to 1-2 times per month to work hand-in-hand with clinic teams before, during and after launch
- Alignment with company culture and values
- Preferred but not required: experience with telehealth operations; experience optimizing the use of EHR software in conjunction with other out-of-the-box tools
