Overview

The IVF Nurse Coordinator plays a pivotal role in delivering personalized, compassionate care to patients navigating infertility treatments, including egg freezing, IUI, IVF, and egg/sperm donation cycles. This role involves a combination of direct patient care and intake coordination with a collaborative nursing model. The ideal candidate is detail-oriented, highly organized, and possesses strong emotional intelligence. They thrive in a dynamic, fast-paced environment and are adept at working both independently and as part of a collaborative team. Success in this role requires adaptability, problem-solving skills, and a commitment to delivering an exceptional patient experience.

Essential Responsibilities

  • Guide patients through the initial intake process: review and interpret lab/ultrasound results and their implications, coordinate referrals, provide education surrounding medications prescribed & interventions when needed.
  • Collaborate closely with the nursing team & the Reproductive Endocrinology and Infertility (REI) team to implement new protocols to improve patient care/flow.
  • Act as a liaison between OB/GYN provider and clinical/REI team.
  • Provide clinical support and training to in-office OBGYN providers and nurses, including ongoing training/support of in-office nursing staff, problem solving in relation to lab scheduling, patient schedule conflicts, etc.
  • Provide clinical support to the team by assisting operations/patient care navigation teams with clinical questions.
  • Ensure daily accountability for patients during the workup phase, before they enter treatment, including tracking ultrasounds, lab tests, physician orders, and other related activities.   • Coordinate patient care and infertility treatment plans with physicians and the remote REI team up to the start of treatment (e.g. egg freezing, IUI, IVF, and egg/sperm donation cycles) utilizing phone, email, text, Zoom, and secure patient portals.
  • Educate patients on procedures and tests related to infertility, insemination, IVF, FET, and egg vitrification.
  • Provide compassionate emotional support to patients throughout their infertility journey.

Other Responsibilities

  • Schedule and coordinate REI stim reviews with the physician and REI team during patient cycles.
  • In partnership with the in-clinic team, document patient interactions and treatment plans in the EMR system up to the start of fertility treatment.
  • Manage patient scheduling and coordinate with laboratory and front desk teams for ART scheduling.
  • Ensure timely completion of all communicable disease testing.
  • Assist with the codification of clinical best practices and norms through support on operations and documentation projects.
  • Assist with quality improvement projects as needed.
  • Maintain professional credentials and standing by participating in continuing education and professional organizations.

Qualifications

  • Fertility Knowledge: Must feel comfortable and confident independently navigating patients through the IVF process. Must have familiarity with common IVF protocols.
  • Work Environment: Must have a quiet, private workspace to comply with HIPAA confidentiality requirements.
  • Problem-Solving: Strong problem-solving skills, with the ability to think critically and adapt to changing circumstances. Must be comfortable working independently with limited overhead guidance in a remote space.
  • Emotional Intelligence: High emotional intelligence, with the ability to provide compassionate care and support.
  • Organizational Skills: Strong organizational and time management skills to handle multiple patient cases efficiently.
  • Communication Skills: Excellent written and verbal communication skills, with the ability to convey complex medical information clearly.
  • Motivation: Highly motivated, driven, and self-starting individual who can work independently in a fast-paced, remote environment.

**Position can be located through the US but preference will be given to qualified candidates residing in the following states: TX, NY, NJ, MI, FL, OK, PA, AR, CO, MN and NC.**

Education/Experience Requirements

  • Minimum of 2 years of experience as an IVF Nurse Coordinator is required.
  • Must hold and maintain an active Registered Nurse (RN) license in all applicable states (assistance will be provided in applying within each state we do business in).
  • Bachelor’s degree in Nursing preferred
  • Third party experience preferred but not required.
  • Experience with Artisan Fertility EMR would be a bonus
  • Current certifications in Basic Life Support (BLS), Advanced Cardiovascular Life Support (ACLS), and/or American Society for Reproductive Medicine (ASRM) certifications.
