Job Description
Office Manager – Key Responsibilities
Mailroom Management
Distribute incoming documents to designated mailroom slots and communicate with recipients.
Collect registered letters addressed to the company from the post office.
Maintain logs of incoming and outgoing shipments.
Courier Service Management
Submit requests for sending documents and equipment via courier services.
Advise employees on courier ordering procedures and assist with account authorization.
Handle issues related to courier dispatch requests.
Internal Communications
Send informational messages to employees.
Keep employee address records up to date.
Reception Call Handling
Receive and route incoming phone calls.
Access and Parking Passes
Issue guest, temporary, and permanent access passes and manage guest parking reservations.
Facilities Vendor Coordination
Liaise with vendors (couriers, corporate taxi, electronic archive, landlord) to resolve office-related issues.
Authorize taxi usage, verify trip reports, coordinate with budget holders, adjust final reports with vendors, and prepare financial splits.
Review travel reports for business trips (ATH), coordinate with budget holders, adjust final reports with vendors, and prepare financial splits.
Review and approve contracts with vendors.
Stationery Orders
Manage office supply procurement.
Collect information, place orders, and distribute business cards to employees.
Holiday and Event Coordination
Decorate the office for New Year, distribute corporate gifts for New Year, Cycle Meetings, and Company Anniversary.
Invoice Processing
Create purchase orders for facility services, verify and forward invoices to accounting, and monitor payments.
Promo Material Logistics & Inventory
Organize delivery of promotional materials to the warehouse and distribute to employees.
Participate in annual inventory of promotional materials.
Project Support – Clinical Training Program (CTP)
Act as Coordinator OCO: maintain training tracker, collect closing documents, conduct weekly check-ups, and send training materials to event coordinators.
Office Relocation Support
Participate in office move planning and execution.
