About the Role

The Research Coordinator supports the planning, coordination, and day-to-day execution of clinical research activities across Pinnacle Fertility. This position works closely with physicians, clinical teams, research partners, study sponsors, and participants to ensure research studies are conducted efficiently, ethically, and in accordance with study protocols and applicable regulatory requirements.

The Research Coordinator serves as a key point of contact throughout the research process, helping identify, recruit, and enroll eligible participants, coordinate study activities and visits, maintain accurate research documentation and data, and support regulatory and compliance requirements.

This is a primarily remote, non-clinical role that does not routinely provide direct patient care or perform clinical procedures. However, the Research Coordinator may periodically travel to Pinnacle Fertility clinic locations to support study implementation, participant recruitment and enrollment, study visits, training, or other on-site research activities. A clinical or healthcare background is highly desirable and will be valuable in understanding fertility treatment, medical terminology, patient workflows, and research protocols.

This role is ideal for someone who is highly organized, detail-oriented, comfortable working with patients and clinical professionals, and interested in contributing to the advancement of reproductive medicine.

We are seeking a Research Coordinator to join our dedicated team in Pinnacle Fertility. This is a full-time position, working Monday - Friday.

Responsibilities

  • Coordinate day-to-day activities for assigned clinical research studies from study initiation through closeout.
  • Review study protocols and develop a thorough understanding of study requirements, timelines, eligibility criteria, and required procedures.
  • Support participant recruitment and enrollment efforts, including identifying potential participants, conducting outreach, responding to study inquiries, and assisting with screening based on established inclusion and exclusion criteria.
  • Coordinate the informed consent and enrollment process in accordance with study protocols, Institutional Review Board (IRB) requirements, and applicable regulations.
  • Serve as a primary point of contact for research participants throughout the study and help ensure a positive, informed, and respectful participant experience.
  • Schedule and coordinate research visits, assessments, laboratory testing, procedures, and other protocol-required activities.
  • Collaborate closely with investigators, physicians, nurses, laboratory personnel, embryology teams, and other clinical staff to coordinate study activities.
  • Provide on-site research coordination at Pinnacle Fertility clinic locations as needed, including supporting study start-up, participant recruitment and enrollment, study visits, clinic team education, research workflows, and other protocol-related activities.
  • Partner with clinic leadership and team members to integrate research activities into clinic operations while minimizing disruption to patient care and clinic workflows.
  • Collect, enter, maintain, and verify research data in study databases, electronic data capture systems, case report forms, and other required systems.
  • Maintain accurate and complete regulatory and study documentation, including participant records, study files, consent documentation, delegation logs, training records, and other required materials.
  • Assist with IRB submissions, continuing reviews, amendments, protocol updates, and other regulatory documentation.
  • Monitor study timelines, enrollment goals, outstanding documentation, and required follow-up activities.
  • Assist with preparation for sponsor monitoring visits, audits, and regulatory reviews.
  • Respond to study queries and work with investigators and study partners to resolve data discrepancies or missing information.
  • Track and appropriately escalate protocol deviations, adverse events, and other study-related concerns in accordance with established procedures.
  • Maintain participant confidentiality and protect research and health information in accordance with HIPAA, organizational policies, and applicable research requirements.
  • Support study start-up and closeout activities, including document collection, training coordination, record reconciliation, and archiving.
  • Communicate effectively with study sponsors, contract research organizations, IRBs, vendors, and other external research partners as appropriate.
  • Maintain knowledge of assigned research protocols, Good Clinical Practice (GCP) principles, and applicable federal and organizational research requirements.
  • Identify opportunities to improve research processes, documentation, participant experience, recruitment, and operational efficiency.
  • Participate in research meetings, training programs, and other activities supporting Pinnacle Fertility's research initiatives.
  • Perform other duties and research-related projects as assigned.
  • Provide administrative and operational support to Pinnacle’s Medical Leadership and Lab Leadership Boards, including coordinating meeting schedules, developing and distributing agendas, preparing meeting materials, documenting meeting minutes and key decisions, and tracking follow-up items.
  • Coordinate and plan leadership meetings, including scheduling, logistics, communications, materials preparation, and timely distribution of meeting minutes, action items, and other follow-up documentation.
  • Support the planning, coordination, and rollout of Medical and Lab Leadership initiatives across the Pinnacle network, partnering with leadership and clinic teams to track deliverables, communicate expectations, and support successful implementation.
  • Provide ongoing administrative support to the Medical Leadership Board Co-Chairs, including calendar and meeting coordination, preparation of communications and materials, follow-up on action items, and other administrative support related to Medical Leadership Board activities and priorities.

Position Requirements

  • Education: Bachelor's degree in a health science, biological science, nursing, public health, research, or related field preferred.
  • Experience:
    • Prior experience in clinical research, healthcare, fertility/reproductive medicine, women's health, or a related clinical environment preferred.
    • Clinical or healthcare experience is highly desirable; however, a clinical license is not required.
    • Experience working in fertility, reproductive endocrinology, women's health, or another patient-care setting is a plus.
    • Experience coordinating clinical research studies or working with research participants strongly preferred.
    • Experience with participant recruitment, screening, enrollment, and retention preferred.
    • Experience with IRB processes, research documentation, electronic data capture systems, or clinical trial management systems is a plus.
    • Clinical Research Coordinator (CRC), Certified Clinical Research Coordinator (CCRC), Certified Clinical Research Professional (CCRP), or similar certification is preferred but not required.
  • Skills:
    • Strong organizational and project coordination skills with exceptional attention to detail.
    • Ability to manage multiple studies, participants, deadlines, and competing priorities simultaneously.
    • Strong written and verbal communication skills.
    • Ability to communicate effectively and compassionately with patients participating in research.
    • Ability to establish rapport with potential study participants and clearly communicate study information and participation requirements.
    • Ability to interpret and follow detailed research protocols and established procedures.
    • Understanding of patient confidentiality, HIPAA, informed consent, and research ethics.
    • Familiarity with Good Clinical Practice (GCP) and clinical research regulations preferred.
    • Working knowledge of medical terminology and clinical workflows preferred.
    • Strong documentation and data-management skills with a commitment to accuracy and data integrity.
    • Ability to work collaboratively with physicians, clinical teams, researchers, sponsors, and other stakeholders.
    • Sound judgment and the ability to recognize and appropriately escalate research, clinical, or compliance concerns.
