Role Summary

The Executive Assistant provides high-level administrative support to the CEO and C-Suite, ensuring smooth daily operations and enabling leadership to focus on strategic priorities. This role requires exceptional organizational skills, discretion, and the ability to manage multiple tasks in a fast-paced environment.

Administrative Support

  • Manage complex calendars and schedule meetings across multiple time zones.
  • Coordinate detailed domestic and international travel arrangements, including flights, lodging, ground transportation, and itineraries, ensuring all logistics run smoothly.
  • Screen and prioritize incoming communications (email, phone, mail), responding or redirecting as appropriate.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Maintain filing systems (digital and physical) and ensure records are organized and up to date.

Meeting & Event Coordination

  • Plan, schedule, and facilitate internal and external meetings, ensuring logistics, materials, and follow-ups are well-managed.
  • Coordinate and support Board of Directors meetings, including scheduling, preparing and distributing materials, managing logistics, and tracking action items.
  • Prepare meeting agendas, materials, and briefings for the executive.
  • Attend select meetings, take notes, and track action items.
  • Coordinate company events, board meetings, and off-site gatherings.

Project & Task Management

  • Assist in the planning, execution, and monitoring of special projects.
  • Track key deadlines and ensure timely completion of deliverables.
  • Liaise with internal teams and external partners to ensure smooth collaboration.

Confidentiality & Professionalism

  • Handle sensitive information with the highest level of integrity and discretion.
  • Represent the executive’s office with professionalism in all interactions.

Education, Licenses, Certifications

  • 5+ years of experience supporting senior executives or C-level leaders.
  • Strong proficiency in Microsoft Office Suite and/or Google Workspace.
  • Excellent written and verbal communication skills.
  • Proven ability to manage multiple priorities with accuracy and attention to detail.
  • High level of discretion and emotional intelligence.
  • Experience in the fertility industry preferred
  • Project management experience or certification preferred
  • Familiarity with CRM tools, project management platforms, and virtual collaboration tools (e.g., Asana, Slack, Zoom) preferred

Employment Type

This is a full-time exempt remote position which may be required to work both EST and PST hours.

Compensation

The salary range for this role is $62,400 – $124,800 annually. Salary is based on several factors including job related knowledge and skill set, depth of experience, certifications and/or degrees.
