Role Summary
The People Team Coordinator is responsible for the execution of core People Team administrative processes across multiple field locations, nationwide. This role serves as a key partner to the People Business Partners -Field Operations and Shared Services teams, helping to ensure consistent, proactive, compliant and simple people team practices, accurate data management and timely employee support. The People Team Coordinator plays an important role in maintaining compliance, supporting employee lifecycle, and delivering responsive, accurate and service-oriented People Team support to the company. This position requires strong organization skills, attention to details, a proactive mindset and the ability to collaborate cross-functionally while managing multiple priorities in a fast-paced environment.
Key Responsibilities
People Business Partner Support
- Provide general and direct operational support to the People Business Partner Team function.
- Maintain strong knowledge of multistate employment law and legislation in the states we operate in.
- Monitor and respond to employee inquiries received through shared HR inboxes, escalating matters as appropriate.
- Maintain HR forms, templates, and internal materials to ensure accessibility, standardization (where applicable) and accuracy.
- Support administrative processing of employment separations in partnership with the People Business Partners, ensuring timely, compliant and accurate execution of both voluntary and involuntary separations.
- Assist People Business Partners with Employee Relations investigations, legal or performance management related tasks.
- Respond to shared HR inbox employee emails and questions.
- Assist with administrative processing of Employee Change Forms and Verifications of Employment.
- Maintain employee records throughout the employee lifecycle, ensuring data accuracy, completeness, and confidentiality.
- Provide support to People Business Partners when requested in processing, tracking and maintaining LOA and ADA accommodations requests, documentation and benefit repayment log activities.
- Update and maintain internal guides, playbooks, and procedural documentation to ensure processes remain compliant, consistent, and aligned with company standards and branding.
- Proactively provide recommendations for system and process optimization
- Support coordination of People Team initiatives and operational projects as assigned/other responsibilities as assigned.
People Operations & HRIS
- Ensure work and tasks completed within HRIS system is maintained with accuracy and integrity.
- Troubleshoot HRIS-related issues and partner with internal team to resolve discrepancies
- Generate, validate, and distribute reports as assigned to support operational, compliance, and business needs.
- Proactively deliver recommendations and insights that drive problem-solving and optimize departmental operations.
Benefits Administration
- Support with the administration of company benefit programs, including open enrollment activities, employee onboarding, and qualifying life event changes.
- Support for employee benefit inquiries and provide general guidance on available programs and processes.
- Coordinate with benefits vendors to resolve employee issues and ensure timely follow-up.
- Responsible for partnering with HR Operations in the review, follow up (as needed) and approval of New Hire Benefit Enrollment and EOI (Evidence of Insurability) requests.
Education, Licenses, Certifications
- 2-4 years of HR Coordinator, HR generalist, HR operations, or people operations experience preferred.
- Experience working with HRIS systems ADP, RIPPLING or similar platforms preferred).
- Working knowledge of HR processes across the employee lifecycle.
- Exceptional attention to detail and data accuracy.
- Strong Project Management skills.
- Exceptional customer service, negotiation and influence capabilities.
- Excellent organizational, problem solving, and time management skills.
- Strong interpersonal and communication skills with a service-oriented mindset.
- Ability to manage sensitive and confidential information with discretion.
Employment Type
This is a full-time non-exempt position based in one of our Bay Area offices that will require flexibility to time zones as needed
Compensation
The starting salary range for this role is $30-33/hr. Salary is based on several factors including job related knowledge and skill set, depth of experience, certifications and/or degrees.
